Accept an Invitation to Partner on an Activity

Be recognized as a faculty/staff partner on engaged activities.

Updated over 4 months ago

Faculty and staff can be identified as partners on activities in Collaboratory.

Every activity has one designated activity lead and can identify multiple faculty staff partners who work with the activity lead on the engaged project.

NOTE: Activity partners have full editing rights over their partnered activities. The activities will display on all partners' public profile, when published.

Step 1: Find your Invitation to Partner

When a faculty or staff receives an invitation to partner on an activity they can navigate to the invitation in 3 ways:

Option 1: Claim Via Email

  1. When you are invited to be a faculty/staff partner on an activity, you will receive an email inviting you to accept the invitation.

  2. Click on the login to Collaboratory link in the email. If you are not already logged in, you will be asked to do so.

  3. Once you are logged in, you will be immediately taken to your Incoming Invitations table. Skip to Step 2: Accept the Invitation to Partner (below).

Option 2: Claim Via Alerts

  1. If you are already logged in to Collaboratory, you may navigate to your invitation via My Alerts.

    1. Note that if you have not registered or have never logged into Collaboratory, you will need to use the link in the email that was sent to you to navigate to your invitation.

  2. When you are logged in, select the alert icon in the top right-hand corner, and click on the alert notifying you of the invitation to partner.

  3. You will be immediately taken to your Incoming Invitations table. Skip to Step 2: Accept the Invitation to Partner (below).

Option 3: Claim Via Invitation Table

  1. When you are logged into Collaboratory, open your dashboard by clicking on "Dashboard" in the top left-hand corner.

  2. Within your dashboard dropdown select "Invitations".

  3. Within your Invitations table, ensure you are in the "Incoming" tab, with the status set to "Pending". Skip to Step 2: Claim the Activity (below).

Step 2: Accept the Invitation to Partner

  1. When in your Invitations table, you will see the activity on which you have been requested to partner. Select the name of the activity to expand a sub-row and view additional information about the activity.

    1. To view the activity before accepting or denying it, click the bullseye. The activity will open in a new screen.

  2. To accept the invitation to partner, click "Accept".

    1. You may include comments that will be sent to the individual that invited you when they receive the notification that you have accepted the invitation.

  3. Once you have accepted the invitation to partner, you will be directed to the activity form.

Step 3: Edit the Activity and/or Submit for Publication

As a partner on the activity, you now have the ability to edit data within the activity form and submit an edited version for publication. Step 6 of the activity form identifies any missing data fields that are required for publication. All required data fields must be completed before you may submit the activity for publication.

Only when your activity is approved, will it be visible to other members of your Collaboratory and to the broader public. It will then be present on your public profile.
