Claim a Proxied Activity

Make sure your work is recognized in Collaboratory!

Collaboratory makes it possible for activities to be entered by proxies, on behalf of faculty and staff. Proxies are usually community engagement professionals, students, or administrative staff members who have knowledge of engaged activities within their institution.

HEADS UP! When an activity is proxied for you, as the designated owner (e.g., lead) of the activity you must claim the activity and submit it for publication before it is published on your institution's Collaboratory.

Step 1: Find your Claim Invitation

You can navigate to the proxied activity 3 different ways:

Option 1: Claim Via Email

  1. When a proxy submits an activity to you, you will receive an email inviting you to claim it.

  2. Click on the login to Collaboratory link in the email. If you are not already logged in, you will be asked to do so.

  3. Once you are logged in, you will be immediately taken to your Incoming Invitations table. Skip to Step 2: Claim the Activity (below).

Option 2: Claim Via Alerts

  1. If you are already logged in to Collaboratory, you may navigate to your proxied activities via My Alerts.

    1. Note that if you have not registered or have never logged into Collaboratory, you will need to use the link in the email that was sent to you to navigate to your proxied Activities.

  2. When you are logged in, select the alert icon in the top right-hand corner, and click on the alert notifying you of the proxied activity.

  3. You will be immediately taken to your Incoming Invitations table. Skip to Step 2: Claim the Activity (below).

Option 3: Claim Via Invitation Table

  1. When you are logged into Collaboratory, open your dashboard by clicking on "Dashboard" in the top left-hand corner.

  2. Within your dashboard dropdown select "Invitations".

  3. Within your Invitations table, ensure you are in the "Incoming" tab, with the status set to "Pending". Skip to Step 2: Claim the Activity (below).

Step 2: Claim the Activity

  1. When in your Invitations table, you will see the activity submitted to you by the proxy. Select the name of the activity to expand a sub-row and view additional information about the activity.

    1. To view the activity before accepting or denying it, click the circle icon under "View". The activity will open in a new screen.

  2. To claim the activity, click "Accept".

    1. You may include comments to the proxy that will be sent when they receive the notification that you have claimed the activity.

  3. Once you have accepted and claimed the activity as yours, you will be directed to the activity form.

Step 3: Submit the Activity for Publication

Within the activity form, you may choose to edit the activity, or submit it directly for publication. Step 6 of the activity form identifies any missing data fields that are required for publication. All required data fields must be completed before you may submit the activity for publication.

NOTE: Proxies do not have to complete all required fields. They complete only what they know about your activity.

Once you submit the activity it will be sent to a Collaboratory administrator at your institution for approval. Administrators may send it back to you for revision before approving it.

Only when your activity is approved, will it be visible to other members of your Collaboratory and to the broader public.
